Work with Kevin

Start with one thing that keeps getting stuck

I help owners and small teams improve how work gets done: the process first, then the systems, then AI where it earns its place. The guides are free. Paid work is for when you want the fix built into your own tools, tested on real examples and handed over properly.

Who it’s for

Owners and small teams running service businesses

Consultancies, agencies, trades, logistics: the industry matters less than the shape of the problem. It’s likely to fit if one of these sounds familiar:

  • Everything still needs to go through you.
  • The same details get typed into several places.
  • How things are done lives in people’s heads, or in old messages.
  • Your team uses AI, but not in a way you can rely on.
  • Work falls between your tools, so someone has to carry it across.

The best starting point is one recent example that went wrong, and someone who would use a better way of working.

What I build

The simplest thing that works, then more if it earns its place

Often the fix is a shared record, a few required fields and a weekly review. When it isn’t, here’s what I build, and the problem each one solves:

Everything goes through you
A shared record for each client or job, with an owner and a dated next action, and simple rules for routine decisions. People check the record, and you see the exceptions.
The same details, typed three times
One place each detail is entered, and connections that copy it to your other tools, so names, references and statuses match without retyping.
Know-how in one person’s head
Written steps, templates and checks, captured while the work is being done, so someone else can do it the same way.
AI used differently by everyone
A defined AI step: agreed inputs, shared instructions, a named person checking the result, and the result saved where the work lives.
Work falling between tools
A connection or a small tool that moves the work across, a list of anything waiting in between, and a reminder when something goes overdue.
Reports and invoices waiting on paperwork
Capture built around the output, drafting that only uses what was captured, and a readiness check before anything is billed.

AI is one tool among these. I use it where there’s known information to organise or draft from, with a person checking the result. If it isn’t needed, I won’t add it.

How it works

From one stuck example to a working fix

  1. Understand the problem

It starts with a free 30-minute call about one recent example: where it got stuck, and why. If a guide already covers it, I’ll point you there. If the problem needs more than a call to understand, the first piece of work is a short diagnosis, scoped the same way as the rest.

  2. Agree the work in writing

The problem in your words, what I’ll build or change, what isn’t included, how we’ll know it works, what I need from you, and the fee. Nothing starts until you agree.

  3. Build it into your tools

In the tools you already use where that works. Each choice is explained in plain terms: what it does, what it costs to run, and what happens if it breaks.

  4. Test it with real examples

Including the awkward ones: the job with extra work, the client with their own portal, the week someone is away.

  5. Hand it over

Your team learns it on their own work. You get notes on how it works, who owns each part, what to do when something unusual happens, and how to change it.

  6. Support, if you want it

Agreed in writing: what’s covered, and for how long.

Questions

What people usually ask first

We already have software for this.

Good, that’s where I start. Your CRM, job, accounting and file tools can often hold a better record than they’re given. I’ll check whether a setting, a form or a small connection solves it before suggesting anything new, and tell you if your software can’t do what you need.

Is this an AI consultancy?

Partly. Most fixes start with a clearer process and a better record. AI comes in where there’s known information to draft from or sort, with a person checking the result. Guide 04 shows how I’d make an AI step reliable.

I’m not technical. Does that matter?

No. You know how your business runs. I’ll explain each choice in plain terms, and then you decide.

What does it cost?

It depends on the scope, so there’s no price list. You’ll get a written scope and fee before any work starts.

Who owns what you build?

The aim is that everything runs in accounts your business controls, with notes on how it works, so you aren’t dependent on me to keep it going. If any part can’t work that way, I’ll say so in the scope before we start.

Bring one example

Something that got stuck recently, and a rough idea of the tools involved. That’s all the call needs.
